Getting Started


Everywhere for Business is our online service that allows a Company to create and manage RoboForm Files for Users through Group Sharing. All Company management is done online and is connected with RoboForm 8 Client installations.

An Administrative User will need to open and create the Company. Users can then be added to the Company. Creating a User in turn creates a Business Eveywhere Account for them. Users will sync RoboForm 8 with the Business Everywhere Account to connect with the Company. After a User is connected, they will receive any Groups that they are added to. Users in Groups will receive all RoboForm Files assigned to that Group, with respect to Storage Types and Usage Permissions set.

Getting started with Everywhere for Business is easy, follow the steps below from top to bottom.

  1. Start by opening your company account here:

    https://online.roboform.com/site/signup-enterprise
  2. Fill in the form information provided:

  3. Submit the information for your Company
  4. NOTE: If the email you provide is already in use, please see our FAQ page.
  5. Once the Company Account is created you can proceed to User Creation.
Creating a new User is the same as creating a fresh new account. Creating a new User sends an Email to the one provided containing a temporary password. Users will need to sign in and change that password to one they know.
  1. Start by logging into the Everywhere for Business portal here:

    https://online.roboform.com/login
  2. After logging in, you will be taken to the Everywhere for Business Dashboard.
  3. View the Users section of the dashboard to manage Users

  4. Use the Create User button to Add a new User.

  5. Fill in the Add User form with the necessary information.

  6. New Users will recieve an email with a temporary password. They will need to sign-in and change it to one they know.
  7. Next, Group(s) will need to be created and have the User assigned to it/them. See Group Creation below.
Joining in a User is done when you have a User that already has a Personal Everywhere Account. This process will send an invitation to the Users Peronsal Everywhere Account to join the Company. User will need to sign in to the account here and accept the invitation.
  1. Start by logging into the Everywhere for Business portal here:

  2. After logging in, you will be taken to the Everywhere for Business Dashboard.
  3. View the Users section of the dashboard to manage Users

  4. Use the Create User button to Add a new User.

  5. Select the Join User tab at the top of the window.

  6. Provide the Email of the Users Peronsal Everywhere Account and submit.

  7. Joined User will need to sign into their Personal Everywhere Account and Accept the invitation to join the Company.
  8. Next, Group(s) will need to be created and have the User assigned to it/them. See Group Creation below.
  1. View the Groups section of the dashboard to manage Groups


  2. Use the Create Group button to Add a new Group.



  3. Give your new group a name and assign default Storage Type and Usage Permission to members of this group:


    • Storage Type:
      • Server - User will read data from our servers at time of use. Requires and internet connection.
      • Synced - Users will recieve a local copy of the data.
    • Usage Permissions:
      • Limited - Users will be able to use the files but cannot see or edit them..
      • Regular - Users will be able to view and edit passwords assigned to them.
  4. Click Save to create the Group.
  5. Next, User(s) need to be assigned to Group(s). See Assign Users to Groups below.
  1. First, select from the Users view which User(s) to assign by selecting the corresponding checkbox(s).

  2. Next, leave the Users selected and then select from the Groups view which Group(s) to assign by selecting the corresponding checkbox(s).

  3. After all proper User(s) and Group(s) are selected, Click the Add User(s) to Group button.

  4. User(s) have now been added to a Group(s).
  5. See Group Managers and Credential Managment below for more information on how to manage Business Everywhere.
After User(s) have been assigned to a Group, a Group Manger can be set from the list of assigned Users. Group Managers have elevated permissions to manage all credentials inside of the group.
  1. See the Users in Groups view on the Dashboard.

  2. Select the User from the list by the corresponding checkbox.

  3. Click the Edit button to bring up Storage Type and Usage Permissions.

  4. The Group Manager option can be selected from the Usage Permissions dropdown list

  5. Click OK to save this option
    Company Admins and Group Managers are the only two roles capable of managing (assigning and revoking) credentials to Users in the company. Credential creation and assignment is done on the local RoboForm Workstation on Company Admin or Group Managers workstation or from the online portal.

    Once Company Admins or Group Managers create a passcard on their local RoboForm 8 Workstation, they have an option to copy that passcard into the group(s) they are managing, thus enabling every member of the group to use that passcard according to preset users permissions.

    Follow these steps for instruction on how to assign credentials to a Group

  1. First, Login to the Company Business Everywhere Portal here.

  2. In the Group section of the Users/Groups page, select the checkbox next to the Group to assign files to.

  3. Click the Add Files button at the bottom of the Groups section.

  4. Select the RoboForm File from the list to Share

  6. Click Move or Copy to share the file to the Group

  7. The file has now been assigned/shared and all Users who are a part of the Group will recieve the file.

The Reports section of the Business Everywhere Portal gives administrators an overview of the current state of Users and Groups for the company. This allows for a quick reference for insight into how your Business Everywhere is organized and who has permission to particular sets of information.
Report Types:
  • Users Report - General information about each User including their last sign-in date, list of assigned Groups, and permissions for each Group.
  • Group Report - Generial information about each Group including the number of Users, number of Files, and who is assigned as its Manager.
